This Privacy Policy describes how NTX Apostille ("we", "us", "our") collects, uses, retains, and protects the personal information you provide when you visit ntxapostille.com (the "Site") or submit a request for notary or apostille services.
1. Information we collect
We collect information you intentionally provide to us, and a small amount of basic technical information when you visit the Site.
a. Information you submit through our intake form
Our intake form is hosted by Jotform Inc. ("Jotform"). When you submit a request, we collect the information you provide, which may include:
- Your name
- Phone number
- Email address (optional)
- Service requested and document type
- Destination country (if apostille or attestation is required)
- City and preferred meeting location
- Preferred language and contact method
- Any additional document details you choose to provide
b. Information we collect automatically
We use privacy-respecting analytics that may collect anonymized, aggregated information about how the Site is used (for example: page views, referring sites, device type). We do not use third-party advertising cookies.
c. Information collected during service
When we perform a notarial act, Texas law requires us to record certain information about the act (date, type of act, signer name, identification used). This record is part of our notarial journal and is separate from our marketing or website data.
2. How we use your information
- To respond to your request and provide a quote
- To schedule and coordinate your notary or apostille appointment
- To submit required filings to the Texas Secretary of State or consular authorities on your behalf, when you authorize us to do so
- To send service-related communications (appointment confirmations, follow-ups, document return notifications)
- To improve our services and the Site
- To comply with applicable law and our notarial record-keeping obligations
3. How we share your information
We do not sell your personal information. We share information only as needed to provide our services or as required by law:
- Jotform, our form-hosting provider, processes intake submissions on our behalf under their own privacy and security terms.
- Texas Secretary of State, US Department of State, and foreign consular authorities, when you ask us to coordinate an apostille or attestation, will receive the document and the information required to process the authentication.
- Mail and courier carriers (e.g., USPS, FedEx), when documents need to be returned to you or forwarded.
- Authorized representatives you specifically identify (for example, an agent in India or Pakistan to whom we are returning an authenticated document).
- Law enforcement or courts, if required by a valid legal process.
4. Data retention
We retain intake form submissions and related communications for as long as needed to provide and document the service, and afterward for a reasonable period to comply with tax, accounting, and business obligations, typically up to four years.
Notarial journal records are retained per the requirements of the Texas Secretary of State and applicable Texas law (minimum 10 years).
5. Your choices and your rights
You may, at any time:
- Ask us what information we hold about you
- Ask us to correct inaccurate information
- Ask us to delete information that is not required for legal or notarial record-keeping
- Withdraw a request you have submitted
To make a request, email info@ntxapostille.com with your name and the nature of your request. We will respond within 30 days.
Note: We cannot delete information from our notarial journal. Texas law requires us to keep those records.
6. Security
The Site uses HTTPS for all traffic. Form submissions are transmitted to Jotform over an encrypted connection. We restrict access to your information to the people who need it to provide your service. No system is perfectly secure; we use reasonable measures to protect your data.
7. Children
The Site is intended for adults. We do not knowingly collect information from children under 13. If you believe a child has provided us information, please contact us and we will delete it.
8. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top. Material changes will be highlighted on the Site for a reasonable period.
